Title: Office Manager
Arrangement: Full-Time & Permanent
Location: In person & Office-Based (Ranelagh, Dublin)

Role Overview:
We are seeking a proactive and highly organised Office Manager to support a multidisciplinary professional services team. This position plays a central role in ensuring smooth day-to-day operations while providing administrative and organisational support across the business. This is a varied and hands-on role requiring strong administrative skills, excellent attention to detail, and a positive, professional approach.

Key Responsibilities:
Office Management
  • Oversee daily office operations to ensure efficiency and organisation
  • Manage office supplies, servicing, and renewals
  • Maintain and update internal office systems and policies
  • Organise catering for internal meetings as required
Executive Support
  • Provide PA support to senior leadership
  • Diary management and scheduling
  • Attend senior meetings and take minutes when required
  • Screen and direct calls, messages, and enquiries
Front of House & Communications
  • Meet and greet visitors
  • Manage incoming and outgoing correspondence (mail, telephone, courier)
  • Act as a professional first point of contact for clients and stakeholders
Document & Project Support
  • Assist with document control and maintaining digital filing systems
  • Support preparation and coordination of tender submissions and fee proposals
  • Maintain organised records of project documentation
  • Printing, binding, scanning, photocopying, and general document preparation
  • Data entry and administrative support across teams
Compliance & Systems
  • Support quality management and environmental management processes
  • Ensure documentation is maintained in line with internal standards
HR & Culture
  • Coordinate onboarding processes for new team members
  • Maintain leave trackers and administrative HR records
  • Organise internal events, professional development sessions, and team activities
Marketing & Online Presence
  • Assist with website updates and social media coordination
Candidate Profile:
Experience
  • Minimum 4 years’ experience in an administrative role
  • Experience within a professional services or creative environment is advantageous but not essential
Technical Skills
  • Strong proficiency in Microsoft 365 (Word, Excel, Outlook)
  • Experience with Adobe InDesign or project management software beneficial
Communication
  • Excellent written and verbal communication skills
  • Confident in liaising with colleagues, clients, and external suppliers
