As Receptionist you will be the first point of contact for the Company to all clients and visitors who attend our London premises, located in our offices at Paddington. Creating a professional welcome to all visitors and promoting our values and image will be a key aspect of the role.

While managing the reception area and meeting rooms to a high standard and ensuring the smooth running of the office, you will also need to deal with all deliveries and couriers, as well as organising meetings and appointments. This is a part time role working as a job share with another Receptionist. The hours are 8.30am to 5.30pm on Monday, 10am-2pm on Tuesday and 8.30am to 5pm on Friday.

Key accountabilities:

Receiving visitors in a welcoming and professional manner

Arranging and receiving deliveries/couriers and directing them appropriately

Ensuring the reception area and meeting rooms are maintained to a high standard

Procuring catering for the office as well as specific meetings

Clearing away catering and ensuring the catering kitchen is kept clean and tidy

Liaising with the building reception regarding visitors

Liaising with building representatives on building operations and maintenance issues

Organising networking and team building events for the London office

Postal services including franking

First Aid and Fire Warden responsibilities

Ensuring lockers and storage is managed appropriately for employees in the London Office

Entering contact details on our CRM

Working with Finance colleagues to reconcile purchase card expenditure for the office related purchases such as couriers and catering

Key competencies and experience:

Proven ability to add to clients’ experience through delivery of the reception role

Proven ability to get things done, to plan and priortise a range of tasks and effectively work unsupervised

An understanding of working in an environment, where the needs of the client shall always be paramount

Procurement administration experience relating to catering and office supplies

A comprehensive working knowledge of MS office

Excellent listening, written and verbal communication skills

The ability to build effective working relationships at all levels across the business
